Most charter bus companies make you fill out a form before they'll give you a number. Here's a straight answer instead: what renting a charter bus actually costs in Phoenix and Scottsdale, based on recent charters Nier Transportation has run, plus how the price is worked out and how to keep it down. Your exact price shows in our booking tool before you book anything.
Charter Bus Prices in Phoenix at a Glance
| Bus | Seats | Typical charter total |
|---|---|---|
| Executive Sprinter | Up to 14 | About $360–$1,300 |
| Mini bus | 28 or 40 | About $675–$1,400 |
| Motor coach (coach bus) | Up to 56 | About $1,000–$1,500 |
| Two or more coaches | 57+ | Quoted per bus, on one booking |
Every charter is booked by the hour with a 2-hour minimum. The totals above are what recent charters with us have typically come to; a short airport group transfer lands at the low end, and a full day or a long out-of-town run lands at the high end or above. There's no surge pricing, and the driver tip is optional.
How Charter Bus Pricing Works
A charter bus is priced on time, not seats. You're renting the whole bus and driver for your group, so the main things that set the price are:
- The bus size. A Sprinter, a mini bus and a full-size coach each have their own hourly rate.
- The hours. Pickup to final drop-off, with a 2-hour minimum. Waiting time in the middle counts, because the bus and driver stay with you.
- The route. Extra stops and out-of-town miles add time. Day trips to Sedona or Tucson are usually booked as a full day.
- The date. Event weeks book up first (see below), so the earlier you book, the better your chances of getting the bus you want.
Live hourly rates for each bus are on our Phoenix charter bus page, and the booking tool does the math for your exact hours.
Sample Charter Trips and Prices
These are typical ranges, not quotes, but they show how the totals usually come together:
- Sky Harbor group transfer (40 people, one way): a mini bus or coach for the 2-hour minimum. Often the lowest-cost way to move a conference group, usually toward the low end of each range.
- Wedding guest shuttle (50 guests, 4–5 hours): a motor coach running loops between the hotel, ceremony and reception. Typically about $1,000–$1,500.
- Corporate off-site (25 people, half day): a 28-passenger mini bus from the office to the venue and back. Typically about $675–$1,400 depending on the hours.
- Sedona day trip (35 people): a 40-passenger mini bus or coach for a full day, about 2 hours each way. Priced by the day's total hours, so it lands at the high end or above.
- Multi-day conference shuttle: several days of hotel-to-venue loops, booked as one trip with one invoice. Each day is priced on its own hours.
What Does a Charter Bus Cost Per Person?
Split across a full bus, a charter is often cheaper per person than you'd expect:
- $1,200 coach for 50 people: about $24 per person
- $1,000 mini bus for 40 people: about $25 per person
- $675 mini bus for 25 people: about $27 per person
Compare that with a round of rideshares or a dozen cars paying for event parking, plus the time it takes to get everyone back together, and the bus usually wins for any group over 15.
When Charter Buses Book Up in Phoenix
The busiest weeks in the Valley are group weeks. Book these early:
- January: Barrett-Jackson at WestWorld of Scottsdale, the Fiesta Bowl
- February: the WM Phoenix Open at TPC Scottsdale
- Late February–March: spring training across the Valley
- October–April: wedding season and resort conference season
- Fall and winter: Cardinals home games at State Farm Stadium
How to Keep the Total Down
- Pick the bus by headcount. A 28-passenger mini bus costs less than a coach running half empty. Our group transportation guide shows which bus fits which group size.
- Plan the hours honestly. Map pickup to final drop-off, then add a small buffer so you don't run over.
- Book the whole trip at once. Multi-day events and round trips go on one booking, which is easier to plan and price.
- Book early for event weeks. You'll get the bus size you actually want instead of what's left.
Charter Bus Cost FAQ
How much does it cost to rent a charter bus in Phoenix?
Recent charters with us have typically come to about $1,000–$1,500 for a 56-passenger motor coach, about $675–$1,400 for a 28- or 40-passenger mini bus, and about $360–$1,300 for an executive Sprinter, with a 2-hour minimum.
Is a charter bus priced per hour or per person?
Per hour, for the whole bus. You rent the bus and driver for your group, so the price doesn't change with how many seats you fill.
What's the minimum rental for a charter bus?
2 hours. Most airport transfers and short event runs fit in that minimum.
How much is a charter bus to Sedona or the Grand Canyon?
Day trips are priced by the total hours. Sedona is about 2 hours each way from Phoenix, so most groups book a full day. The Grand Canyon is about 3½–4 hours each way, and federal driver-hour limits can mean a second driver or an overnight, which we plan when we quote.
Is the tip included?
No. The driver tip is optional.
Can we get more than one bus?
Yes. For conventions, tournaments and big weddings we send as many coaches and mini buses as you need, on one booking with one coordinator and one invoice. Planning in Scottsdale? See charter bus rental in Scottsdale.
